Responsibilities: This position entails additional responsibilities beyond the employee’s regular duties, specifically serving as the liaison to the Board of Governors of Southern West Virginia Community and Technical College. In recognition of these added responsibilities, the Liaison will receive a stipend in addition to their standard compensation. This position is responsible to schedule and attend the Agenda Committee for the Board of Governors, prepare all meeting agendas, develop, duplicate, and provide all Board packets prior to each meeting. In consultation with President’s Office and Board of Governor’s Chair, plans the annual schedule of Board Meetings and activities. Provides individual notification and publication of open meeting agenda to the Board, the campus community, and the public, as per Secretary of State guidelines. Plans and manages all aspects of the full Board meetings, its committees, and retreats initiating follow-up actions required following each meeting. Transmits notice of Board actions to appropriate constituencies. Prepares official minutes; maintains official permanent meeting records and other documents pertinent to the Board of Governors. Coordinates mailings from the President’s Office related to the Board, and the Board Chair. Serves on the Policies and Procedures Committee. Provides draft institutional policies for review by the Board once the policies have been approved through the governance process (from the Policies and Procedures Committee and President’s Cabinet). Distributes approved draft policies for the required 30-day public comment period to constituencies once approved by the Board. Follows-up with the Chair of the Policies and Procedures Committee (Chief Human Resources Officer) on comments received and policies to forward to the Board for final approval. Maintains institutional policies handbook and assures their continuous update. Provides the Chief Human Resources Officer with all original policies once signed by the Board Chair and the President. Prepares and edits all correspondence for the President’s Office pertaining to the Board of Governors. Prepares and edits all correspondence for the Board Chair pertaining to the Board of Governors. Assists the President’s Office on follow-up on requests from the Board.

Minimum Qualifications & Requirements

Associate Degree in Secretarial Science, Business/Office Administration, or 18 months education beyond high school, plus two years recent work experience in related field. Additional equivalent combination of experience, which provides the required knowledge, skills, and abilities, may be substituted for education. Must have a broad knowledge of the College’s policies and procedures. Must have excellent customer service skills, demonstrating a people-first attitude, patience, attentiveness, creativity, and resourcefulness. Strong organizational and time management skills. Proven ability to be resourceful, to handle unexpected situations or challenges and to manage multiple tasks simultaneously while adjusting to changing priorities. Must possess critical thinking skills and be capable of making independent decisions and excellent verbal and communication skills to interact effectively with colleagues, students, and stakeholders. Must be attentive to detail and have the ability to maintain confidentiality. Must demonstrate strong interpersonal skills, including professionalism, friendliness, and the ability to work well in a team. Must be proficient in computer applications, including word processing, spreadsheets, and presentation software. Knowledge of office equipment, such as printers, scanners, and fax machines, a high level of proficiency in MS Office Suite, and the propensity to become proficient in related technical systems.
